Schedule: Monday to Friday, standard US business hours with Pacific overlap

About the Role
You will keep the executive team organized, prepared, and moving. That means protecting calendars, handling details before they become problems, and making sure important follow-ups do not slip. This role fits someone who notices gaps early, likes clean follow-through, and can handle sensitive information without drama.
Key Responsibilities
- Manage calendars, meetings, and travel with close attention to timing and priorities.
- Keep inboxes organized and draft clear replies when appropriate.
- Track follow-ups, deadlines, and action items across multiple workstreams.
- Prepare meeting notes, summaries, and simple operating documents.
- Coordinate across internal teams and external partners to keep work moving.
- Handle confidential information with care and good judgment.
Who You Are
- You have already supported a founder, executive, or senior operator in a fast-paced environment.
- You do not wait to be told twice. You spot loose ends and close them.
- Your English is strong enough to manage written and verbal communication with US stakeholders.
- You are comfortable with Google Workspace, calendar tools, and task tracking systems.
- You stay calm when priorities change and can switch context without losing the thread.
Bonus Points
- Experience supporting executives in startups, agencies, or small operating teams.
- Experience coordinating personal tasks alongside business tasks.
- Spanish and English fluency.

First 90 Days
- The calendar is organized, meeting prep is tighter, and leadership is not chasing routine follow-ups.
- Inbox triage, scheduling, and travel coordination are running cleanly without constant correction.
- You understand how the executive team likes information presented and how decisions get made.
Ongoing
- Leadership trusts you with high-stakes scheduling, sensitive details, and day-to-day follow-through.
- Fewer tasks fall through the cracks because action items are tracked and closed consistently.
- You create enough order around the role that the team feels lighter, not busier, because you are there.
