Permit & Inspection Coordinator (Remote)

Location: Remote (Latin America)

Compensation: $800 – $1,200 USD/month

Schedule: Monday – Friday, 9:00 AM – 5:00 PM EST (40 hours/week)

Our client is an HVAC contractor serving residential and commercial customers across the New England region. They have built a strong reputation for reliable home comfort services and are growing their operations team.

About the Role

You will be the point of contact when it is time to schedule inspections. You will learn to pull permits, file warranty registrations, and keep the paperwork flowing. The work is repetitive, the same types of calls and forms each day. If you like finishing a list and moving to the next, you will do well here.

Key Responsibilities

  • Call customers and inspectors to book town inspections.
  • Schedule inspections and confirm details with everyone involved.
  • Prepare and submit permit applications to building departments.
  • Track permit status and follow up when things stall.
  • File product warranty registrations accurately.
  • Keep digital records organized for permits, inspections, and correspondence.
  • Flag problems early and propose solutions.

Who You Are

  • You finish your to-do list every day without being chased.
  • You do not wait for instructions. You see what needs to happen and handle it.
  • You can make 30+ outbound calls a day without dreading it.
  • You have done admin, customer service, or coordination work before.
  • Your English is strong enough to speak with US customers and teams.
  • Google Workspace is second nature to you.

Bonus Points

  • Experience in home services, HVAC, plumbing, or construction.
  • Familiarity with permit processes or building departments.
  • Fluent in English and Spanish.

What Success Looks Like

First 90 Days

  • Inspection scheduling process is learned and running smoothly.
  • Permit applications go out correctly the first time.
  • Working relationships are established with customers and inspectors.

Ongoing

  • Inspections are scheduled within 48 hours of field readiness.
  • Permits are submitted on time, every time.
  • You find small improvements that make the process smoother.
